Better Than Email

Image
Better Than Email. So many of us spend much of our working days writing, reading, or responding to emails. Since Ray Tomlinson sent the first email all the way back in 1971 (51 years ago!), it has become the most common business communication tool. It is estimated that in 2022 over 333 billion emails are sent every single day. That means about 3.5 million emails are sent every second! The pain is real Of course, not all of those 333 billion daily emails are legitimate; it’s estimated that about 85% is spam and 3.4 billion are phishing attempts (emails trying to steal credentials from you or deliver malware to your computer).  Since very few users adopt best practices when it comes to cybersecurity, it’s no surprise that Business Email Compromise happens so frequently. In the last month alone, I have been made aware of 3 local organizations that have had accounts compromised – their credentials were leaked, somehow, and cybercriminals were able to get into their accounts. It’s no wo...

October, Cyber Security Awareness Month

Image
October is Cyber Security Awareness Month and this is a great opportunity to raise awareness. There are several tips mentioned on the GRC site to avoid a cyber attack, and here's what you can do to protect yourself and your electronics: Choose strong passwords and change them frequently. Do not use the same password for different accounts or applications. Use only reliable and password-protected wireless networks. Keep your operating system up to date, including your anti-virus and anti-malware software and privacy settings, and enable automatic updates to prevent older software from being attacked. Always lock your mobile device (using a PIN or diagram). Be careful if you see links in emails and text messages. Keep your social media profiles private and check your security settings. When making financial transactions online, make sure that the padlock symbol is displayed on the website or that the URL begins with https: // (the "s" means it is secure). ...

TagMyDoc is very useful, but are you using it to its full potential? In this article, we propose some uses more unknown to our users, but just as useful and innovative! 1- Add an expiration date to a document Each of your documents has the option of having an expiration date. So, if you are of the "mission impossible" type and would like your document to self-destruct at a specific time, it is possible! Indeed, by clicking on the three small dots to the right of the title of your document, you can access the parameters. You only have to determine your date at the exact second and the document will automatically be deleted when it reaches the due date. Very effective for temporary projects or confidential documents. 2- Create lists of tasks to do between colleagues You must first create a TagMyDoc secure space and then add one or more colleagues. 5 trends in document management for 2016

Image
The New Year is coming and this is an excellent reason to kick off 2016 with the best organizational procedures! Here are five trends in document management that will increase productivity within your company: Cloud : Some companies are still reluctant, but nevertheless, using cloud computing is an approach that is increasingly adopted. It allows you to access your documents at any time, anywhere and from any device: you just need an Internet connection! Mobile friendly : Professionals are often on the road and travel frequently for business. This is why mobile devices are important for mobile workers, even more than computers. Accessing your documents right from your smartphone becomes a must for 2016! Collaboration : A lack of communication in the workplace can lead to mistakes such as working with out-of-date documents or redoing the work. Therefore, your document management tools really need features that promote collaboration between employees and facilitate the shari...

You have a problem

Image
You always want to be more productive at work? Be aware that several tasks related to the management of your documents, without you knowing it, cause you problems and losses of all kinds (time, money, ideas, focus, etc.). What are the conflicts related to document management on a daily basis? First of all, each person has his own way of working. This is why several problematic actions are done on your documents, leading to blatant conflicts and efficiency losses: For example, trying to correctly name a document to recognize whether it is a draft or a final version: version 1, version 2, final version, final version 3, etc. Unfortunately, you waste your time opening and comparing the many versions to determine which one contains the right content. Despite the processes implemented by your organization, errors are frequent and you may find yourself working on an out-of-date document or starting all over again if you don’t find the right version of your document. You create many folders...

Cool, but I'm already using Google Drive...

Image
Google Drive and Google Docs are great tools, but they fail to solve one of the great problems brought on by the multiplication and proliferation of digital files. In fact, they exacerbate it. With more and more versions of the same document moving around Google Drive and everyone organizing, naming and filing collaborative documents following their personal method, finding the latest version of a document becomes a tedious and costly process that prevents you from getting your work done. Of course, you can implement a filing method, but humans are notoriously fickle. You can give people a protocol, but you cannot be sure that they will follow it. The problem becomes even worse when two corporations collaborate: There are now two different official filing methods The “human factor” risk is doubled, because the more people work on a document, the greater the risk of documentary disconnection becomes. It is well known that the best way to manage people, is to let them believe...

PART II: Managing the document disconnect with TagMyDoc In the first installment of our post on the document disconnect we explained the phenomenon and its cost. We will now list some of the problems identified by the  IDC report , that businesses face and how TagMyDoc can help solve them. With TagMyDoc , your documents can be accessed using any device and the information you need will always be the right one , even if it changes at the very last minute. Take the example of John, who works for company X. This morning John has a meeting with a client to submit an offer. Earlier this morning, the price for a commodity changed. John’s coworker Sacha changed the price on his version and emailed it to everyone, but John was already at the meeting. Now, if John did not have TagMyDoc, he may have not presented the right information to the client. But John has TagMyDoc and when he opened up the contract to present it to his client, he had access the new version, since...

Managing the document disconnect - A three part series

Image
PART I What’s the problem? Most of us have been faced with the tedious task of finding the right version of a document or worst working with the wrong document/information which invariably brings us two steps backward. Frustrating, both for the employee and the employer. In a study funded by Adobe, the International Data Corporation (IDC) analyzed the problematic that is the organization and retrieval of information. The proliferation of digital files, in regards of quantity (Ver.1, Ver.2, Ver.3, to ∞ and beyond) and support (iPad, Android Tablet, personal/work computer…) has created a situation where people have difficulty sharing the right information with the right people at the right time. In other words, companies and corporations are facing the document disconnect . According to this study, this phenomenon jeopardizes the efficiency and the productivity of companies. 51% of the people surveyed report misfiled or lost documents and 43% say they must use several disk s...
