Convoflo Updates - v2.21: Outlook inbox sync, improved MFA, and new permission options
This release focuses on three core pillars of Convoflo: communication centralization, enhanced security, and optimal permission controls, while improving the experience for both internal and external users.
In this post, we highlight the main features added to Convoflo: external inbox synchronization, a restructured MFA and reauthentication flow, new permission options, folder creation by external users, richer text editing tools, and a brand-new sign-in experience using Microsoft, Google, or Apple accounts.
The goal remains unchanged: giving you a secure, simple and reliable environment to manage your sensitive communications and documents, adapted to both your teams and your clients.
External inbox synchronization
Users can now connect their external inbox to Convoflo, starting with Outlook. Once connected, external email communications are delivered directly into Convoflo, ready to be classified into the right secure space and automatically linked to the right client.
This means you no longer need to switch between your email app and Convoflo to manage sensitive communications. Relevant messages automatically appear in the correct secure conversation.
For example, if a user replies to a message directly in Convoflo, the client receives a notification from the Convoflo platform rather than a standalone email. Exchanges stay centralized, consistent and easier to track.
Simplified login: sign in with Microsoft, Google, or Apple
You can now access your Convoflo account using your Microsoft, Google, or Apple identity. This new login method removes the need to manage an additional password and makes access faster and more convenient.
This feature is also available to your clients. They can sign in to their secure spaces using the identity they already rely on daily, while benefiting from the security protections built into Convoflo.
Restructured MFA and reauthentication flow
We have improved the reauthentication logic to provide the right balance between strong security and smooth usage. There are now two moments when reauthentication is required:
- After a certain number of days since the last sign-in.
- When a sensitive action needs to be performed.
After confirming identity for a sensitive action, the user has a one-hour window during which additional sensitive actions can be performed without another prompt.
Reauthentication now works with all MFA methods available in Convoflo: one-time password, passkey, account password and Microsoft authentication.
Importantly, users no longer lose their work when reauthentication is required. The page, message, or workflow they were working on remains exactly as it was.
New permission options when moving items
When moving a file, folder, or secure space, users can now choose between two behaviors:
- Overwrite existing permissions.
- Merge permissions with those of the destination location.
This added flexibility improves governance and reduces the risk of access misconfigurations.
Folder creation by external users
Secure spaces can now be configured to allow any user with access to create folders. This option is disabled by default but can be enabled when teams want to give clients or partners more autonomy in organizing documents.
New formatting tools in the text editor
The message editor now includes additional formatting options:
- Underline
- Highlight
- Text alignment: left, center, right, justified
